Care Ministries Receptionist & Office Support Assistant

Job Summary

Under the supervision of the Sisterhood Outreach & Cherish Kids Director, the Care Ministries Receptionist & Office Support Assistant will be responsible for answering all incoming calls and hosting guests with care. This role is positioned to connect those who call or walk-in to the appropriate department or staff members. Under the direction of the supervisor, they will support all Care Ministries with tasks as assigned- including, but not limited to: Dream Team assignments, phone calls, scheduling, and support in the coordination of events as needed.

Essential Responsibilities & Duties

 

Receptionist Responsibilities:

  • Serves to receive people who come for appointments and assist with their needs.
  • Serves to answer the phone for the department – beginning each morning at 9 am.
  • Answer all calls in a prompt and courteous manner.
  • Transfers all calls promptly, leaving no one on hold for more than 30 seconds.
  • Take notes of any issues or concerns that need immediate attention.
  • Tracks phone calls and appointments for the office.
  • Maintain an orderly reception area.

  Administrative Support:

  • Assists with Dream Team Assignments and follow-up for Living Free, Community Care, and Departmental events: i.e., Cherish Kids, Project Partnership, Season of Giving, funerals.
  • Assisting with the One Heart Food Pantry in, but not limited to Dream Team coordination, planning, and executing pantry events, assisting with monthly Bags by the Bumper, and other special One Heart events, as needed.
  • Knowledge of all ministries and events related to Community Care, Living Free, Cherish Kids, and Pastoral Care.
  • Proactively gathers relevant information regarding church events and departments so that questions can be answered correctly and promptly.

Job Requirements

 
  • Work schedule: Monday-Friday, with a coordinated lunch break. Assisting with special events as needed.
  • Represent the church culture well to all guests and staff members.
  • Represent the church in a positive, energetic, and friendly manner, promptly assisting people whenever needed.
  • Two (2) years of multi-line telephone or general clerical experience; OR
  • Any equivalent combination of training and experience.
  • Solid knowledge of the James River Church departments and events.
  • Experience in customer service and/or sales.

Knowledge, Skills & Abilities

 
  • Knowledge of modern office methods and procedures, filing, telephone techniques, and office equipment, as well as English usage, spelling, grammar, and punctuation.
  • Ability to communicate effectively orally and in writing.
  • Ability to establish and maintain effective working relationships with supervising personnel, coworkers, civic organizations, business professionals, and the public.
  • Front-line representation and solid knowledge of the James River Church departments and events.
  • Outstanding customer service and phone manner.
  • Exhibit good judgment, honesty, integrity, responsibility, and punctuality through the utilization of professional work standards.
  • Performs other related duties as assigned and required.
  • Maintain a high level of confidentiality.
