Facilities Budget Coordinator

Job Summary

Serving the Facilities Department with administrative and accounting duties.

Essential Responsibilities & Duties

 
  • Work closely with all facilities staff and the accounting department to ensure accurate record keeping of expenses.
  • Collect receipts for facilities related expenses and document them in the appropriate software.
  • Utilize basic accounting principals to reconcile user credit cards.
  • Monitor and prepare bi-weekly and monthly budget reports and present reports at team meetings.
  • Budget and analysis and optimization. Conduct regular analysis of budget performance, identifying areas of improvement and proposing strategies to optimize resource allocation.
  • Implement cost-saving measures and improve operational efficiency.
  • Assist accounting department with obtaining current vendor COI’s and vendor packets.
  • Monitor and pay utilities for all campuses.
  • Enter invoices for the remittance process.
  • Review monthly vendor statements for accurate payment processing.
  • Answer and screen incoming calls and emails.
  • General clerical duties include photocopying, fax, mailing, filing, and electronic filing.
  • Assist in ordering office supplies.
  • Assist with key management and fleet management.
  • Cross train in the basic functions of the calendar coordinator and facilities coordinator.
  • Mandatory event attendance.
  • Performs all other duties as assigned or required not identified under this job description.

Job Requirements

 
  • High school diploma.
  • Two (2) years of administrative experience.
  • Degree in accounting, business, or another related
  • Any equivalent combination of training and experience.
  • Called to support the ministry.

Knowledge, Skills & Abilities

 
  • Knowledge of and intermediate experience with Microsoft Office Suite and general computer skills.
  • Well-developed people skills to serve as an effective liaison between departments.
  • Able to build relationships and help resolve conflict quickly and according to Biblical standards.
  • Effective oral and written communication skills.
  • Exhibit good judgment, honesty, integrity, responsibility, and punctuality through the utilization of professional work standards.
  • Excellent troubleshooting, problem-solving, and creative thinking skills.
  • Ability to work in a fast-paced environment while meeting critical deadlines.
  • Exhibit professionalism and maintain confidentiality always.
  • Ability to accept criticism and a passion for personal growth.
  • Strong attention to detail.
  • Ability to work with accuracy, especially with numbers.
