Human Resources Operations Assistant

Full-Time

Job Summary

Under the supervision of the Human Resources Director; the Human Resources Administrative Assistant will be responsible for administrative support of day-to-day Human Resource operations and assisting in other various duties as assigned by the Director to further advance the ministry.

Essential Responsibilities & Duties

 

General:

  • Answer and screen incoming calls and emails.
  • General clerical duties including photocopying, fax, and mailing.
  • Maintain a digital and hard copy file system.
  • Schedule and coordinate meetings, agendas, appointments, and travel.
  • Create or revise systems and documents, as necessary.
  • Assist Human Resources Director with email management and communications.
  • Complete reports as requested.
  • Assist in project management.
  • Order supplies for office.
  • Crossed trained to fill in for other HR roles.

 

Budget:

  • Assist with budget monthly review, reconciliation, and FY budget presentation.
  • Provide as back up for entering invoices, processing monthly bankcard statements, mileage reimbursements, and balance credit card statements.
  • Enter invoices, process monthly bankcard statements, mileage reimbursements, and balance credit card statements.
  • Process detailed MetLife self-bill.

 

Department Duties:

  • Copy Editor for department.
  • Assist in Poster Compliance.
  • Family Medical Leave Act:
    • Prepare FMLA documents and coordinate meetings.
    • FMLA management in HRIS software system and employee files.
    • Manage LOA status in HRIS.
    • Update payroll manual adjustments sheet for benefits invoices
    • Process STD or LTD paperwork.
    • Yearly FMLA paperwork audit.
  • Start of Year:
    • Hours Verification reports to aid in ACA compliance and budget preparation.
  • Open Enrollment:
    • Participate in Open Enrollment reconciliation.
  • Provide as back-up for New Employee Orientation and Human Resources Orientation coordination and facilitation as needed.
  • Provides back-up for other functional areas of Human Resources Department.
  • Performs other duties assigned by Human Resources Director.

 

Recruiting:

  • Assist with Career Fair coordination, facilitation, and projects as needed.
  • Daily tags in recruiting for new applicants.

 

Risk Management:

  • Process and maintain driver applications for employees.
  • Process insurance needs to Kids & Youth camps.
  • Assist in Workers Comp claims as needed.

 

Personnel Administration:

  • Obtain and manage job descriptions, position codes, and employee groups in HIRS.
  • Upkeep and manage Positions module in Human Resource Information System (HRIS).
  • Manage positions on James River website and Recruiting Module (ATS).
  • Coordinate exit interviews, and prepare termination, exit paperwork, and update payroll manual adjustments sheet as needed.
  • Assist with I9 record keeping; to remain in legal compliance.
  • Assist in updating FellowshipOne Go employment status.

 

Payroll:

  • Have a basic understanding of payroll processing
  • Aid in Payroll as needed
  • Be back up for payroll processing
  • Update Manual Adjustment sheet as needed for employee changes

Job Requirements

 
  • High school diploma, Associates degree preferred.
  • Two (2) years of administrative experience.
  • HR experience preferred but not required.
  • Any equivalent combination of training and experience.
  • PC skills including Microsoft Office Suite (Excel, Outlook, Publisher, Word, Planner, and Teams).
  • Called to support ministry.
  • This position requires that the candidates be actively attending and have completed grow track with approval as a
